No more spreadsheets, one unified system
Background
Our client Alumax had a familiar challenge. Over time they had created and relied upon many small disjointed “systems”. Spreadsheets and folders for tracking the information they needed to function day to day, important information often being missed, resulting in time being lost to manage the right documents.
Alumax knew they needed something better which could integrate with their recently acquired accounting software.
Knowing there must be a better way Alumax spoke to their accountant who recommended ConTech Solutions.
The Brief
Consolidate all spreadsheets and systems
Create a simple end to end solution that can be easily maintained and scaled
System should have a way to create a simple breakdown of costs to then be presented to the client along with a branded invoice.
Our Approach
When we met with Alumax the first step was to create a process map of their current operations to understand the gaps. We were able to draw up a new process map which allowed us to identify and select the right tool for one complete end to end solution. We then created a 4-step delivery plan:
Requirements and data gathering according to our process map.
Develop and implemented the solution
Test the delivered solution to allow for any lessons to be learnt, changes to be made and retest before going live.
Support: Alumax were able to reach out by phone over the resulting 6 months enabling them to fully integrate the solution into their workflow.
Results
The end to end solution we delivered is now a key part of how Alumax operates. All information is in one place allowing the company owners to know how the business is operating at any point in time.
The solution saved Alumax 30 hours of manual work per week resulting in a saving of approx.. $75K per annum (25:1 ROI).
The solution was able to integrate all the following key functions of managing a growing business:
Lead Management, Creating and sending Quotes, Managing Timesheets, Job Management, Purchase Order creation and tracking, Costing and allocation, WIP management, Invoicing & Profitability Reporting.
And most importantly, no more spreadsheets!!
